Software Usage & Access Policy

1. Purpose

This policy defines how software, tools, and digital services paid for by Thirtyfour Creative may be accessed and used. Its purpose is to ensure company resources are used responsibly, professionally, and solely in support of Thirtyfour Creative work and clients.

2. Scope

This policy applies to:

  • All employees, contractors, and collaborators

  • All software licences, subscriptions, platforms, plugins, and tools paid for or reimbursed by Thirtyfour Creative

  • All devices used to access Thirtyfour Creative software

3. Approved Use of Software

All company-paid software must be used:

  • Exclusively for Thirtyfour Creative work

  • In a professional and responsible manner

  • In alignment with the intended purpose of the tool

  • In accordance with software licence terms and vendor agreements

  • In a way that protects client data, company data, and intellectual property

Software access is provided to enable delivery of high-quality work for Thirtyfour Creative clients, not for personal convenience or external use.

 

4. Prohibited Use of Software

The following uses are not permitted:

  • Using Thirtyfour Creative software for:

    • Personal projects

    • Freelance or side work

    • External businesses or clients

    • Training, demos, or experiments unrelated to Thirtyfour Creative work

  • Sharing logins, licences, or access credentials with unauthorised individuals

  • Installing unauthorised software or browser extensions that may create security or licence risks

  • Circumventing licence limits, usage caps, or security controls

  • Using software in any way that could damage Thirtyfour Creative’s reputation or breach client trust

5. Access, Licences & Costs

  • Software access is granted based on role and business need

  • Licences must not be duplicated, shared, or reassigned without approval

  • Any new software request must be approved before purchase

  • Team members must notify leadership if:

    • A tool is no longer required

    • A licence is underutilised

    • Access needs change due to role updates

Thirtyfour Creative reserves the right to audit software usage to manage costs and compliance.

6. Data & Security Responsibilities

When using company software, all users must:

  • Follow best practices for data security and confidentiality

  • Protect login credentials and enable security features where available

  • Ensure client data is handled in line with contracts and privacy obligations

  • Immediately report any suspected security breach, misuse, or unauthorised access

7. Ownership & Intellectual Property

  • All work created using Thirtyfour Creative software is the property of Thirtyfour Creative or its clients, in line with contractual agreements

  • Software access does not grant ownership rights to any data, files, or outputs created

8. Monitoring & Review

Thirtyfour Creative may:

  • Review software usage for cost, security, and compliance purposes

  • Revoke access where software is misused or no longer required

  • Update this policy as tools, costs, or business needs evolve

9. Breaches of Policy

Misuse of company software may result in:

  • Immediate removal of access

  • Disciplinary action

  • Contract termination (for contractors)

  • Legal action where applicable

10. Policy Acceptance

Access to Thirtyfour Creative software constitutes acceptance of this policy.

If there is uncertainty about appropriate use, approval must be obtained before proceeding.
